How do I edit comments and annotations in PDF-XChange Editor?

Question

How do I edit comments and annotations in PDF-XChange Editor?

Selection

The Edit Comments Tool is used to edit comments and annotations:

1. On the Home Ribbon Tab, Select the Select Comments Tool.

2. Click comments to select them, or click and drag to select multiple comments:

  • Click and drag control points to resize comments (This can also be done with a group of comments) [See below Gif]
  • Click and drag comments to reposition them. (The circle at the center can also be used for this purpose). [See below Gif]
  • Click and drag the green control point at the top to rotate comments. Hold down Shift to rotate at increments of fifteen degrees. [See below Gif]

  • You can also use the arrow keys to reposition comments.

Viewing

Under the View Ribbon Tab there are a number of display options to assist in positioning comments and viewing page content more clearly.

These options are as follows.

  • Rulers will enable/disable rulers. Rulers display along the top and left side of the main window, and facilitate the convenient measurement of document elements.

  • Grid will enable/disable the PDF-XChange Editor grid. This grid is positioned on top of pages and assists in the accurate placement/alignment of text, objects and other document content. It is especially useful when used in conjunction with the snapping feature.

  • Guides will enable/disable guides, which are used in conjunction with rulers to simplify the process of aligning text and objects. Click and drag from rulers to launch guides.

  • Thin Lines is a toggle that will force all lines to be rendered as a 1px wide line. Note that this only affects the view of the document, and, when printed, the lines will return to their original size.
  • Transparency grid will display a checker pattern anywhere on the page that does not contain content items. Effectively allowing you to distinguish between white space, and a white background image.

  • Page Size/Position will enable/disable the display of the current page size and coordinates of the pointer location. This information is displayed in the Document Options Toolbar, which is located on the lower left side of the main window.

  • Split has two options, Horizontal and Vertical splits. These will allow you to view two separate areas of the same document side by side.
  • Page Transitions allow you to change the transition style between page ranges for fullscreen mode (F11).
  • Auto scroll, This function when enabled will begin slowly scrolling through the document automatically.

Formatting

  • The main properties of selected comments are displayed in the Format Toolbar, which can be edited as desired. Available properties depend on the type of comment selected. The screenshot below shows the Text Box Format Toolbar.

  • Right-click comments for further options. These options are detailed here.
  • The Commenting section of the PDF-XChange Editor preferences (Ctrl+K) can be used to view/edit preferences for comments.
  • When Customized Comment Styles have been created it is possible to switch between styles when comments are selected using the style pallet (available by right clicking the UI button for most comment types):

Editing

To select text after a text box has been completed it is necessary to click to select the text box and then click again to select the text. This is because PDF-XChange Editor must recognize text boxes and the text that text boxes contain as separate items as they feature different editing options. See here for information on editing text boxes.

Once you have the Text or the Text Box selected, both can be formatted using the methods detailed earlier in this article. Further information on using PDF-XChange Editor to edit PDF documents is available here.
